10/21/19 - Tech Alert: Condition Book Matrix Enhancements and Indexes |

InCompass has made several enhancements to the Condition Book Matrix and the Condition Book Index screen. Changes were made to make it easier to modify and clean up your indexes and make the indexes easier to identify by providing a better description of the index. Users can still use the "Description" field to modify the index codes for display on their Index report.
These changes are a good opportunity to address your indexes and the index report by either deleting old indexes, resorting them and/or modifying their descriptions.
***Before continuing to the Matrix screen, it is very important to clear your cache in Google Chrome. Use the CTRL-Shift-DEL keyboard shortcut to do this.***
The changes are as follows:
Index Types Maintenance Screen
- Easier to identify new indexes as we have changed the default sort number to zero (0) instead of (99). The new (0) indexes will default to the top of the list for easy access.
- Easier to delete indexes to get rid of old or unused races by using the Trash Can icon.
- Easier to Sort and Update each index.
- Recommended sorting numbers for race type categories are listed below and can be finely tuned by using smaller numbers within each category such as,1100, 1200, 1300, etc. It is important to remember that the lower the number, the higher it will display on your index report.
o Stks/Hcps = 1000
o Allowances = 2000
o Starter Allowances = 3000
o Claiming = 4000
o Maiden/Maiden Special weight = 5000
o Maiden Claiming = 6000
- Users have the option to display a "Split" index on their index report for Allowance Optional Claiming (AOC) race types. If desired, we can activate that feature so the system will generate two indexes, one that will display in your Allowance category and the other will display in your Claiming category.
- Users have the option to display the Stake names along with the index code on their index report.


Condition Book Matrix Screen
- All Indexes will now start with a three letter code.
- The "Auto Save" feature in the Matrix has been changed from 20 seconds to 1 minute to allow for more time to create a race.
- Graded designations are available to use. For example, STK/1, STK/2, STK/3, STK/B, STK/L, to indicate Grade 1, 2, 3, Black Type, and Listed.
- We have added Restricted (R) and Auction (A) designations. For example, an Allowance with a restricted designation would be ALW(R)1XMCorNW2.
- The top of the Edit window will display the correct index as it is being created and will update the list of indexes in the drop down menu on the Monies tab.
- The index drop down menu on the Monies tab is now alphabetized to make it easier to find an index.
- When creating a new race in the CB Matrix, the Monies tab will display a "Pending" message until the race is saved. The complete index will display after the save.
All the required fields for a race such as purse, distance, weights, age/sex, etc. must be completed in order for the correct code to generate.

A validation has been added to all Optional Claiming type races that will turn the race condition a pinkish color and the entire cell a darker color if the claiming prices don't match on the "Main" and "Conditions" tabs.

- It is now possible to write an "And" and an "Or" condition in the same race.
o To write both an and/or condition, simply choose which one you want, write the condition, then before the next condition, select the "Modified text" option and the very first word in the free form text field should start with the word "And" or "Or". The system will automatically display the correct wording in the text of the conditions in all related screens and reports.
*** The system will not validate weights or eligibility at time of entry and the Hustle feature will result in data that may be inaccurate when using modified text.

02/20/18 - Tech Alert: Stall Application |

Three modifications to the Stall Application/Allocation screen have been implemented which includes new features and added flexibility for the different ways each track handles their Stall Application data entry.
- Stall Tally — now displays at the top of the Stall Application screen
- Saved Application Data for each trainer — Automatically attaches to the trainers Horsemen Maintenance screen for easy retrieval and auditing of historical records
- Ease of flexibility for entering Stall Application data — Tracks have the option to list each horse and print past performances to review for approval, or simply enter the number of Stalls Requested.

Barns - Stall Periods - Stall Applications/Allocations - Assignment - Reports
Step-by-Step Procedures
Create a new Stall Period - This is still located under the Admin Maint / Track / Stall Period Maintenance screen.
Clone Barns - Barns are now tied to Stall Periods for the purpose of retaining previous stall assignment data. With every new Stall Period, you will need to Clone your Barns into the new Stall Period.
Go to Barn on the Stall menu line
Select Clone to display the dialog box to select the 'From' and 'To' Stall Periods to clone.

With 'From' and 'To' selections made, press Submit. You will receive a message that the barns were cloned successfully.
Optional: Add/Edit Barn — Now is the time to add a new barn or edit an existing barn, modify the stall layout, change a stall to a feed room, etc. If these types of changes are necessary, please refer to the Barn section of this documentation below.
Optional: Clone Stall Assignments — Tracks that are running year round may find it more convenient to clone previous stall assignments to the new Barn/Stall Period. Tracks that clear their barns and assignments after each meet could opt to skip this step.
If you do want to clone assignments, that process is listed under Admin Maint -> Track -> Clone Stall Data
Stall Applications — Tab 1 Requested Stalls/Horses:
Search for a Trainer and if you cloned stalls into the new Stall Period, a list of this trainer's horses will display in the grid, otherwise the grid will be empty.
Enter the Total Stalls Requested by this trainer
Enter the # of horses that will be the Trainer's Choice now if you know the number or you can come back and enter this number after you've added horses to the Requested group and reviewed the application.
Horse Name: begin entering horses that you are requesting the trainer bring. As each horse is selected, it will appear in the grid for this trainer, as well as auto-populate the number in the Horses Requested field.
Note: the list of 'Requested' horses are the horses that the Racing Secretary is requesting the trainer bring on ground, as part of the agreement for granting stalls.

Requested Stalls/Horses section:
Search for a horse, and select him from the scanner to begin building a list of horses you want the trainer to bring to your track.
Using the first column in the grid labeled 'OK' select all the horses you will accept from this trainer.
InElig column is used to indicate horses not eligible for a stall.
Remove horses from this list by using the Delete in the Action column.
Use the View / Print Horses wPPs button to analyze the requested horses.
Tab 2 Assigned Barns — Use this area to assign a trainer to a specific barn, allowing the Barn Superintendent to assign the actual stalls to the trainer at a later time from the Assign menu.
The Stalls Requested number will display, but you will want to enter the total number of 'Horses Requested' and '# of Trainer's Choice' horses together from Tab 1 and place it in the Stalls Allocated field, along with information on the number of Rooms requested and allocated.
At the bottom of the screen, assign the Trainer to a barn by selecting the barn from the Barn dropdown box. Enter the number of stalls you are allotting the trainer in the field labeled '# of Stalls This Trainer'. Details of the barn are viewable from the screen such as, the total number of stalls in the barn, the number of Tack, Feed, Walkers and Sheds included in the barn, as well as how many stalls have been assigned and the number of remaining stalls. Press the 'Add New' button to assign the trainer to the barn and allot stalls. Continue assigning Barns and Stalls until the number of Allocated Stalls and Rooms have been assigned to your liking.

To edit stalls already assigned to a trainer, double click on the Barn line in the grid to load the data into the fields at the bottom. After adjustments are made, press Update.
Select the Barn, and enter the number of stalls for 'This Trainer', then press the 'Add New' button. This adds the Barn/Stalls to the grid.
Tab 3 Comments - Use this tab to enter any 'trainer specific' comment or notes you want to include on the Application Letters and the Internal Stall Application.
Printing Letters and Applications: Three letter types (Acceptance, Denial and Hold) plus a stall application report are provided. As the application is completed for each trainer, select the Letter type to print and whether or not you want to print the completed Stall application. InCompass will gladly customize the letters with text, specific to your track.
Letter Type: choose to print a personalize letter for this trainer from the following selections: Acceptance, Denial, Hold
Press the Update Application button to Update/Print button to save all changes, as well as print the Letter or Application choices you selected.
Below are examples of the 3 default letters included for your use:

The Stall Letters and Application reports can also be printed from the Stall Reports menu. If you need to reprint a letter or application for just one trainer, scan for the trainer's name, otherwise, leave the Trainer field blank, and all Letters and/or Applications for every trainer can be printed at once.
Stall Assign - The Assign menu option will be used by the Stall Superintendent to assign stalls to the trainer in the barn the Racing Secretary suggested. This is also the screen where daily stall updates will be made.

Scan for the Trainer, and the screen will display the Total Stalls Allocated by the Racing Secretary to this trainer. Use that number to begin assigning stalls in the barn(s) assigned.
The Stalls Allocated and Stalls Assigned fields will populate as soon as the barn is selected from the Barns dropdown box.
Barns - select the Barn from the dropdown. (Room types, and number of each are displayed)
Assign will default the Date field to the current date and allow you to enter the specific stalls
Assign All will default to the current date and automatically assign the trainer to all remaining available stalls
UnAssign will default the Date field to the previous date, so the stall is open and available as of today's date.
You can enter a specific stall or range of stalls
UnAssign All will remove the trainer from every stall in this barn he was assigned to.
Update Stalls button will update the stalls for this trainer and clear the screen for the next trainer.
Date -The system will default a suggested date, but it can be back-dated to a date of your choice. The default dates are as follows: Putting a trainer IN will default to today. Moving a trainer OUT will default to yesterday.
Range - Use this field to assign a single stall or a range of stalls. If you would like to assign multiple stalls at once, enter the stall number you would like to start with, put in a hyphen, than the ending stall number. Example: 1-10. This will assign the trainer selected to stalls 1 through 10. If you wish to assign the trainer to various stalls, then use a comma. Example: 1,3,7,9. This will assign the trainer selected to stall numbers 1,3,7 and 9.
BARNS
At the beginning of each Stall Period, use the Barn screen to add, edit or delete barns. All modifications must be made before trainers are assigned to a barn, as once trainers have been assigned, you will not be able to make any changes.

To create a new barn complete the Barn Name and Barn Number fields, then define the number of Tack Rooms, Walkers, Stalls, Feed Rooms and Sheds, then press the 'Add New barn' button.
To Delete a barn, click the 'Delete' link at the end of the row. The system will prompt you with a message asking if you are sure you want to delete. Answer 'OK' to continue with the deletion. Cancel to return to the barn grid without any changes.
To declare the number of Tack, Feed, Walkers and Sheds within an existing barn, you must Delete the Barn and re-add it.

03/17/16 - Tech Alert: Workout Tab Report Updates |

The Workout Tab report denotes a horse is on a list by displaying several asterisks beside the name of the horse. In the past this denotation was only displaying for horses on a list at the 'Host' track.
As of today the "Denotes Horse On List" indicator will display beside the name of the horse if the horse is on a list at any track. If the track chooses to print and display the morning Workout Tab for their horsemen to review, this change will alert them that their horse is on a list before trying to enter the horse into a race.
- The Workout Tab Report is located on the Racing Office Menu as follows: Reports -> Work Tab -> WorkTab Report, press Continue.
- After selecting the track, and entering the date, press the Reports button at the bottom of the screen.
- In the Pop-up menu, select Workout Tab Report and press the View/Print button to generate the Workout Tab Report.

06/15/16 - Tech Alert: Procedures for Maintaining Horses on Lists |

Below is a primer for adding horses to lists, inserting 'Off' dates and deleting a horse from a list. Please forward to all personnel responsible for maintaining horse lists.
Add horses to lists from Tab 3 in the Horse Maintenance screen. Complete the fields at the bottom of the screen, selecting the Trainer, Type of List, On Date, Off Date if known, and entering comments with additional details is always helpful. Use the 'Add' button to insert the list record into the grid at the top of the screen. Be sure to press the 'Update' button to save the list information when you are finished with this horse.
To edit a record, highlight the line in the grid, then double-click to populate the list data into the fields at the bottom of the screen. From here, you can add an Off Date, or add additional comments, etc. When all edits are complete, press the 'Save List' button to save the new information, and place the data back up on the grid.
- History of all 'List' information is maintained so it is available for others to view in the future.
- Off Dates should be entered whenever the horse has come off of the list. If the length of time the horse is to be on the list is predetermined, then the 'Off' date can be entered at the same time the horse is put on the list. If the 'Off' date is unknown, then it can be added later, and saved to the record.
- Deleting a List — a deleted record is still kept, and displays in red type in the grid. You SHOULD NOT delete a horse off of a list unless it was entered in error.
- Diligently review your 'Horses on Lists' report (located under the Horse Reports menu), to identify horses that need an 'Off' date entered. The Horse Lists should be cleared as much as possible before the horse goes to another track, or your track closes for the season.

04/17/15 - Tech Alert: Publishing Guaranteed Pools |

The ability to publish Guaranteed Pools on Equibase.com and Mobile.Equibase.com is now available. Any user with Racing Secretary or Program Production access will be able to access the Guaranteed Pools module in RTO.
This new module is available in the "Daily" line of the Main Menu. This information should be entered before you generate a "Final" Overnight as it will be transferred to Equibase at that time. If you should need to submit after your "Final" file has been submitted, you will need to contact Equibase to unblock the file and resend the file.

04/02/15 - Change to Trainer Check In/Out |

When setting Foal Certificates to Pulled using the Trainer Check In/Out program located on the Horse line of your RTO menu, the Preference Date will not automatically be cleared.
If you want to clear the Preference Date at the same time as setting the papers to Pulled, you will need to manually delete the date from the Preference Date Field.

02/27/13 - Horses Retired from Racing (RFR) |
 |
Your InCompass Race Track Operations (RTO) System will begin to recognize horses identified by The Jockey Club Registry as retired from racing as of Monday, March 4, 2013. These horses will not be allowed to enter or draw into a race via the RTO system.
Horse Maintenance screen access:
When searching for a horse in the Horsemen Maintenance screen, all RFR horses will be displayed in light gray text in the horse search screen and users will not have the ability to access these horses or view any information or past performance lines.
Entry Maintenance screen access:
If an Entry Clerk tries to enter an RFR horse into a race, the system will display a validation stating the horse cannot be selected because it has been retired from racing. This validation cannot be over-ridden and the horse will not be entered into a race.
Draw Maintenance screen access:
If the horse has already been entered into a race prior to The Jockey Club Registry marking the horse as RFR, you will have the ability to draw the horse into the race and produce a final program with past performances. After the completion of the race, the horse will display as an RFR horse and will not be available for any other use.

12/21/12 - Listed Races |
 |
Beginning in 2013 Listed race status is being assigned to specific races by the American Graded Stakes Committee and Canadian Graded Stakes Committee. Each track will be notified of races that are to receive Listed race status by the appropriate committee. Also, Listed races will still require a minimum purse of $75,000 or more available to all starters. In order to correctly record Listed races tracks will need to identify them via the RTO Stakes Book Maintenance module. This can be accomplished by choosing "Listed" from the Grade dropdown box.
Once denoted in the Stakes book, the "Listed" designation will display on your reports as other Grades do today. If you would like to remove the "Listed" designation from your RTO reports, or make a change to the way they are being displayed, please call InCompass Techsupport at (800) 625-4664, press 3, or email us at techsupport@incompass-solutions.com.

10/19/12 - Windows 8 and Internet Explorer 10 |

To ensure a trouble free experience with the InCompass Solutions suite of web-based applications (Race Track Operations, Horsemen's Bookkeeper and Simo-Central) we DO NOT recommend customers upgrade to Microsoft Windows 8 or Internet Explorer 10 at this time.
Based on our initial certification tests we found several compatibility issues which will prevent users from properly interacting with our applications if they are using this new operating system or browser. We are currently researching these issues and will follow up with an update when we have identified and resolved all compatibility issues.
At this time our platform fully supports Microsoft Windows XP, Microsoft Windows Vista and Microsoft Windows 7 along with Internet Explorer 8 and Internet Explorer 9.

08/07/12 - Enhanced List E-Mail Notification |

We have implemented a new procedure that will send the Racing Secretaries and Veterinarians emails if a horse has been entered at your track that is on a list at another track. The email will display the Name of the Horse, Race Date, Condition Book Number, Entry Date, Type of List and Track.
Also, the Racing Secretary and Veterinarian at the track where the horse was put on the list will receive an email stating a horse that was put on a list at their track has been entered at another track.

12/16/11 - Owner Names and Enhanced Statistics |
 |
Providing comprehensive owner statistics is key to recruiting and promoting owners in the racing industry. With that in mind, the collection and storage of ownership names has been re-engineered to provide enhanced owner statistics. Equibase has changed the way partnerships are constructed and stored to identify single owners within a partnership.
Because much of the new collection of ownership names will rely on RTO users in the racing offices, we are re-designing the 'Add New Horsemen' screen to enable you to include each entity that makes up a partnership. The new screen will be implemented the first week of January 2012. We will notify you again when the changes are in place. An example of the new screen is shown, creating a partnership of David Chase Webb and Bates Stable, Inc. Each individual or entity is scanned for from the Equibase database, and as each one is selected the system creates the new Owner Name.
Detailed instructions are attached to this email to show you how to create new owner names, as well as update existing partnership names that do not currently have each individual or entity identified. The "Trainer Profile," which is available on the "Stall" line of your menu, provides comprehensive information about a selected trainer to aid in the allocation of stalls. Below are screenshots providing a glimpse of the wide-ranging data that is available at your fingertips:

12/17/10 - Adobe Reader X Update |
 |
Adobe recently released a new version of their Adobe Reader software that is utilized by the RTO system for printing reports. After upgrading you may find that your system sometimes displays a blank gray screen when you attempt to generate a report or print checks. You can quickly resolve this issue by opening Adobe Reader X via the Start Menu on your PC and accepting their new updated license agreement. This should be a one-time process after which you should be able to generate reports normally.

Hustle Report
- Retrieve starters in similar races from previous charts, with summary, eligibility, pp data and contact information.
- You have the ability to customize the tracks that you want to hustle from.
- Use the new Custom Hustle features to select from Summaries, Charts or Past Performances.

Previously Entered Horse Report
- Search for horses in past races similar to the one you are trying to fill.
- Find horses meeting your race criteria with details on: started or scratched, trainer name, phone number, finish/margin, last start and last workout.

Horsemen Activity Report for Trainers
- Located under the Horsemen Report menu, entitled Horsemen Activity Report.
- Have you given stalls to a trainer and want to see if he's running? Determine whether he is running at your track or using you as a training facility.
- You can use this report in conjunction with the Trainer Listing report to compare horses a trainer has on the grounds to the actual number of starts.
- The Trainer Listing is also located under the Horsemen Reports menu. Run it for a trainer with the 'Foal Certificates On File' option to see all the horses in your inventory for that trainer. Take this list and compare it to the number of entries and starts found on the Horsemen Activity Report.
- The Horsemen Activity Report displays the Class of each horse the trainer has started and can be used as a hustle tool.

07/01/10 - Dual Registered Quarter Horses and Paint Horses |

Effective July 1, 2010, Equibase has changed the way they store dual-registered Quarter Horses and Paints with different names between the Quarter Horse and Paint Horse registries in their database. For dually registered horses with different names between both registries, Equibase will maintain the Quarter Horse name only.
This will affect how you look up horses in the search screen when taking entries. You will want to search by the Quarter Horse name even if the horse is being entered into a Paint race. Equibase will retain the Paint registration number and breedtype, but not the Paint name.
Equibase will grandfather this change to address all dually registered, differently named Quarter Horse / Paints in their database. Therefore, the change will not only appear for active horses in entry and result files, but could also include an active horse's sire, dam or dam's sire. The tables below reflect the name changes of the affected dual-registered horses.

The Hustle report is a great tool to use when trying to 'hustle' one or two more horses into a race to close, or to increase overall field sizes. This feature provides the ability to generate reports based on specific search criteria from the conditions of the race, and provides a list of eligible horses based on their previous race charts/results.
From the RTO Reports menu line, select Hustle. The following grid will display after you select the Track, Date and Card:
Select the Condition Number you want to 'hustle' and double click that race.
On the following screen, the system has defaulted the race conditions into the fields from the condition book race.
You can widen or tighten the search selections by change the tracks selections, or the number of 'Days to Search'.
After pressing the Submit button, the system will display the following message letting you know the process is working and is preparing a list of horses and charts to be viewed on the Retrieval screen.
The Retrieval screen is located on the Reports menu line. All large reports that generate in the background will appear in the Retrieval area when the process has completed.
Below is an example of a completed process ready for retrieval.
Results are displayed using the following naming convention: username, Age/Sex of race, Race type, Date and Time the file was created:

An enhancement has been made to the Workout Tab to include the Last start, Race class and Finish position of each horse. The Workout Tab can be accessed via the Reports / Worktab menu. Choose the Report Type of 'WorkTab Report.' After choosing a Date and Sort Option, press the 'Generate' button for the system to populate the grid with all the horses that had works for that day. Next press the 'View/Print Classes' button to see the new format (example below).
As sample of the new Worktab Report is shown below.

InCompass has designed a new Worktab Report that identifies First Time Starters. In the example below, the horse's name is listed (or 'Out of' Dam Name), sex, age, Trainer and then First Time Starter or information on the last start. If the horse has never started in a race, the letters 'FTS' will be displayed along with the date of the first workout and the total number of workouts. The last column contains the speed and description of the workout.
This new report can be found on the Menu under Reports / Worktab / Worktab Report. Select a date and 'Generate' the data. Next press the 'Reports' button and select 'Worktab - FTS' from the dropdown Menu.

A new report enhancement entitled 'Previously Entered Horses Report' has been added to the system which will be useful for hustling additional horses into races. The report can be accessed from the Entries Report menu, or from the Rundown screen. The report will display horses that have entered into a similar race between a date range, the report will default to a 30 day range. The report will display the Status of the entry, such as Excluded, Scratched or Started, along with the Last Start Date and Last Workout Date. Below are examples of how the report can be accessed via the Rundown screen, and a sample of the report.
Track — This will be defaulted to the track the users is logged into. Other choices would be tracks in your association (ex: AQU, BEL, SAR).
From Date — The system will default the 'From Date' to 30 days back from entry date, or from the next entry date if report is run from the Entry Report Menu.
To Date — The 'To Date' will default to the entry date from the race clicked on from the rundown screen, or next entry date if report is run from the Entry Report menu.
Index — The Index code will default to the Index type from the race clicked on from the rundown screen. If run from the Entry Report Menu, the Index code will be blank, but all valid index codes are available from the dropdown menu.
Age — The Age field will default to the age from the race clicked on from the rundown screen. If run from the Entry Report Menu, the age field will be blank, but all valid ages are available from the dropdown menu.
Sex — The Sex field will default to the sex from the race clicked on from the rundown screen. If run from the Entry Report Menu, the sex field will be blank, but all valid sex codes are available from the dropdown menu.
Distance — The system will populate the distance with either 'Short', 'Intermediate' or 'Long' based on perimeters pre-defined for each track that matches the race clicked on from the rundown screen. If run from the Entry Report Menu, the distance field will be blank, but all valid distance ranges are available from the dropdown menu.
Surface — The Surface field will default to the surface from the race clicked on from the rundown screen. An additional option of 'both' will be available if the track has multiple surfaces. If run from the Entry Report Menu, the surface field will be blank, but all valid distance ranges are available from the dropdown menu.

A new Horsemen's Activity Report has been added to the system. The Horsemen's Activity report was created to allow you quick access to a horsmen's activity. The report can be accessed from either the Horsemen's Maintenance screen, or from the Horsemen's Report menu.
Horsemen Maintenance screen access:
When accessing the report from the Horsemen Maintenance screen, press the new 'Activity' button.
The following screen will be displayed:
The Date fields will be populated with the default meet dates, which can be modified as needed.
The Track grid will be pre-populated with your current Track or Association. Other track selections are available.
The Sort by options are as follows: Name, # of Wins, or Earnings

The Horsemen's Activity Report can also be accessed from the Horsemen's Report Menu.
When accessing the Horsemen's Activity Report from the Horsemen's Report Menu, a report can be generated for an individual horsemen, (as from the Horsemen's Maintenance screen), but this screen will provide additional functionality.
The Date fields will be populated with the default meet dates, which can be modified as needed.
The Track grid will be pre-populated with your current Track or Association.
Horsemen Type: Choose from Owner, Trainer or Jockey
Display All: If this option is selected, the Track grid is not accessible, only default track selections are available.
Scan for specific Horsemen: If this option is selected, the Scan Name field will appear, and the track grid will be accessible to choose other track selections.
The Sort by options are as follows: Name, # of Wins, or Earnings

InCompass realizes that password management is becoming more of a challenge every day. Many of us manage multiple passwords to conduct our business and personal activities including our email account, online banking accounts and access to the InCompass RTO system. To make password management easier at the racetrack, InCompass has enhanced its password management functionality. The new functionality will give on-track personnel the ability to manage RTO Users access.
The ability of on-site personnel to be able to reset passwords should be a tremendous time-saver for RTO users at the startup of each new meet. Many times passwords have expired, or access was de-activiated at the end of the previous meet and contacting InCompass was the only way to update user's access. We can authorize someone at your site with this ability. We are requesting each site designate one or two people with the authority to reset passwords as well as Activiate/Deactivate RTO user access.
Please contact us and advise who your authorized users will be. We suggest one IT person and a high level racing staff member such as the Racing Secretary, Ass't Racing Secretary or Program Production Coordinator. We will contact them and walk them through the process. Please provide the following information for the people you authorize at your site for RTO User Maintenance Access:
Name, phone number and email address.

InCompass now recognizes horses sold without pedigree. SWOP requests recorded by The Jockey Club Registry will be identified as such in the RTO System.
Horse Maintenance screen access:
When searching for a horse in the Horsemen Maintenance screen, all SWOP horses will be highlighted gray. You will not be able to access this horse or view any information or past performance lines via the Horse Maintenance screen.
Entry Maintenance screen access:
If the Entry Clerk tries to enter a SWOP horse into a race, the system will display a validation. This validation cannot be over-ridden and the horse cannot be entered into the race.
Draw Maintenance screen access:
Note: If the horse has already been entered into a race as an official entry before The Jockey Club Registry has marked the horse as SWOP, you will be able to draw the horse into the race and produce a final program for this race number and race date only. After the completion of the race, the horse will display as a SWOP horse and will not be available for any other use.

Beginning Monday, May 18th, all InCompass programs, (both live and simulcast) will display two new data elements in the past performance line: Temp Rail and Run-up Distance. Please keep in mind, any files posted to Simo-Central prior to noon on May 18th, will not contain the new data elements. New versions of the "How To Read" page for our most common formats are available. If you would like to request one, please email or fax us a copy of what you are currently providing and we will email an updated version to you. If you produce your own custom "How To Read" page, please update it with these two new elements.
The use of a temporary rail for turf races is not new to racing, but will now be displayed on the past performance line. If a Temporary Rail was used for a turf race, the distance that the temporary rail was place out from the fixed rail will appear superscripted behind the Turf Course symbol.
On October 1, 2008, Equibase began collecting data on the distance (in feet) between leaving the starting gate and reaching the point where timing of the race begins. This is called the Run-up Distance. Races with different run-up distances can now be more accurately compared to races at the same distance but with different run-up distances. Horses that have a longer run-up distance generally record faster first quarter times than those that start closer to the position where timing begins. The new Run-up Distance will appear superscripted after the distance of the race.

With the recent changes to the Stall Maint screen, we are sending out instructions on how to best use these screens and setup Stall Periods. It is important to note that the Stall Applications, Allocations and Assignments are now kept by TRAINER instead of by BARN. New functionality allows for Stall Periods to be defined as any period of time instead of defaulting to 'meet dates'. Below are instructions on how to use the new processes.
The new Stall Maint screen combines all three modules on one screen, viewable on tabs 1, 2 and 3. This screen is driven off of what Stall Period is chosen.
The first thing you will need to do is set a new ending date on the 'Default Stall Period' and create a new Stall Period. The Default Stall Period dates are currently set to 1/1/03 to 2/1/09. If your new Stall Period will start AFTER 2/1/09, then you can leave the end date of the Default Period as is. If however, you want your new Stall Period to begin 1/1/09, then you should change the ending date of the Default Period to be 12/31/08 so you can start the new period on 1/1/09. If your new period begins after 2/1/09, no changes are needed to the Default Stall Period dates.
Each time you want to re-allocate stalls, you need to create a new Stall Period.
RTO Users with Racing Secretary access have the ability to access the Stall Period Maintenance screen found under Admin Maint -> Track -> Stall Period Maintenance. Use this screen to modify or create stall periods.
After the new stall period has been defined, the next step is to either clone existing stall assignments to the new period you created, or to create new stall assignments.
Cloning Stall Assignments:
A new 'Clone Stall Assignments' screen is available to clone existing stall assignments from one period to the next. This screen is located under Admin Maint -> Track -> Clone Stall Assignment. This will Clone ALL Stall assignments for ALL trainers that have stall assignments in the 'From Stall Period' into the 'To Stall Period'.
Editing or Creating new Stall Assignments
The new Stall Maint screen combines all three modules on one screen, viewable on tabs 1, 2 and 3. The Stall Applications / Allocations / Assignments are now kept by Trainer instead of Barn. This screen is driven off what Stall Period is chosen. You must scan for a trainer to update any of the tabs.
Tab 1: Application/Horses - Apply horses to a specific trainer for a specific Stall Period. Scan for the horse and then click 'Add Horse' to add this horse to the trainer's application.
Tab 2: Allocation - Allocate stalls to a specific trainer for a specific Stall Period.
Tab 3: Assignments - Assign stalls to a specific trainer for a specific Stall Period. This tab will show a grid of the current assignments for the trainer.
Add/Edit Assignments - Click this button to Add or Edit stall assignments for the scanned trainer and specific Stall Period. The following screen will appear:
Barn - Select the Barn from the dropdown list.
View Assignments - Choose a Barn from the dropdown list to view the current stall assignments.
Stall Number(s) - Enter Stall Numbers you are assigning to trainer.
Date In - This will default to today's date.
Description - This is a free form text box to type comments.
Assign - Click "Assign" when you are finished assigning the stalls to this trainer.
Clear - To clear specific stalls for the trainer for the specific Stall Period, select the Barn from the drop down list. Enter the Stall Number(s) to clear. Click the "Clear" button. This will remove the stall(s) from the trainer for the specific Stall Period.
Clear All Assignments - This will clear all stall assignments for the specific trainer for the specific stall period.
Close - This button will exit the dialog box.
Clone Assignments From - Select a Stall Period from the dropdown and click the "Clone" button. All assignments for the current trainer for the specified Stall Period will be copied to the Stall Period being viewed.
A new report entitled Allocation Report has been created to show all of the Stall Application, Allocations and Assignments for a selected Stall Period. This is located under Stall Reports. View Assignments - Choose a Barn from the dropdown list to view the current stall assignments.

A new Contact Us link has been added to the top of the RTO screen to make it easier to get in touch with us regarding an issue or new request. This service provides a way for you to contact us from within the RTO System without having to open your email and compose a message.
Please complete the following screen with as much detail as possible. The more details provided, the quicker we will be able to research the issue and provide an answer.
Choose the module you are working with: Racing, Horsemen's Bookkeeper, Media or Futurities.
Provide contact information such as your phone number and email address.
Enter a Subject to identify the topic, and then provide as much information as possible under the Issue section. Complete this section with details such as the exact error message, troubleshooting ideas you've already attempted, or a description of a new feature you would like information about.If the problem is specific to a Race Date, Horse or Horseman account, please complete the Pertinent Details section.
The screen name can be found in the top right hand corner of the RTO screen. In the example above, the screen name is: I001-4. The exact program name is helpful as we have several 'program reports', (ie; 4x9, 4x9 with pp's and 8.5x11) and need to know which one you are referring to.
All requests will be answered in a timely manner during regular business hours. Should you use the Contact Us messaging system after-hours or on weekends, the system will prompt you to choose between needing 'Immediate' attention (resulting in the On-Call person being contacted), or schedule a response on the next business day.

The Draw screen has been modified in order to accomplish two objectives; 1. Display up to 14 horses on the front screen, 2. Group all header items together along with the new feature of being able to change the Purse, Included and Plus monies on the same screen. Below is an example of the new Draw Screen displaying 10 horses on the screen.
Note the absence of the Condition Text, Rename Race, and Comment buttons. A new button has been added entitled 'Race Info'. When pressed, an additional window will appear containing all the fields that can be edited on one screen as shown below:
This screen provides one place to go to update the Distance, Course, Purse monies, Race Names, Condition Text and Program Comments. The Overnight Comments button has been removed from this screen, but can still be accessed via the Admin Maint / Race / Overnight Comments screen.

To ensure your workstation is performing at the highest level of security, please check to see if you are using the current version of Microsoft Explorer, which is IEY. We are strongly recommend that all RTO users upgrade to Internet Explorer 7. Internet Explorer 6 was originally released in 2001, and the patches released by Microsoft since then can no longer meet our minimum security requirements. IE7 was designed to provide better security through SSL (Secure Socket Layer) data encryption.
To verify the version of Internet Explorer you are using, open a web browser window to your home page. Choose 'Help' from the menu options across the top, next choose 'About Internet Explorer'. If your workstation is still using IE6, please contact your IT Department to request an upgrade to IE7.

General Liability Insurance Expiration Date Tracking
Along with Workman's Compensation policy date expirations, you can now track the expiration date of General Liability Insurance coverage that many trainers maintain. For this enhancement, a new field has been added to the Horsemen's Account screen as shown below:
Under Horsemen Reports, the Workman's Compensation Report and the Workman's Compensation Coverage Report have been renamed to Insurance Report and Insurance Report Coverage. The new reports have the ability to display information for both types of insurance coverage.
Insurance Report: (use to review which Trainer's coverage is about to expire.)
This report can be generated for either Workmen's Compensation or General Liability coverage. With either option selected, it will find all horsemen with an expiration date between the two specified dates and that have activity between the selected activity dates. Each horseman will display showing the address, city, state, zip code, and the expiration date. The report is sorted according to the selected sort option.
Starting Expiration Date - Enter the beginning range for Workmen's comp exp date.
Ending Expiration Date - Ending range for Workmen's comp exp date.
Starting Activity Date - Begin range for trainers who had draws between the date.
Ending Activity Date - Enter the ending range for the trainer.
Sort by - Account Name or Expiration Date
A sample of the report follows:
Insurance Report Coverage: (use to review coverage dates for all trainers during racing date range.)
This report will display the expiration date of all trainers currently racing between the dates selected. The report will display an alphabetical listing of the horseman's name and expiration date of their Coverage. There are several options available as described below:
Activity - This choice will activate the date selection boxes below and allow you to select a date range to review only those trainers that have activity during the dates requested.
Overall Coverage - This option will display all trainers and their expiration date regardless of activity.
Workmen's Compensation - This selection will display trainers and the Workmen's Comp expiration dates (see example below).
General Liability - This selection will display trainers and their General Liability expiration dates.
Starting Race Date - Begin range for trainers who had draws between the dates listed.
Ending Race Date - Enter the ending range for the trainer.

 |  | | 09/02/08 - MeadCoScriptX License |  | The RTO system currently uses an ActiveXControl titled "MeadCoSciptX" within the printing functions of some applications. This control is used in the printing of entry blanks, statements and checks. The current license for this control will expire on September 17, 2008. We have scheduled the date of Monday, September 8th, 2008 to implement our new five year license. Beginning Monday morning, all users will receive a prompt to install the new MeadCo ScriptX certificate. Until the new certificate is installed, entries, checks, statements and other various reports will not print. Please notify all RTO Racing and HB users at your facility and contact your IT department this week regarding the installation of this new license.
NOTE: All IT departments should be notified of the installation of the new license. Most pc's will require Administrator privileges to install the MeadCo Certificate. Depending on the infrastructure at the facility some IT departments may also have to clear the cache on firewalls or PC's.

With the new scanner in place, we are now able to expand upon this functionality by adding another feature to the Entry Maintenance process that many users have asked for. We are happy to announce that beginning Tuesday morning, January 8th a new 'Entry by Trainer' feature will be available for use in the Entry Maintenance screen. This functionality will be useful when tracking down those hard to spell horse names, or in some cases when the names are not even fully known.
This new functionality is completely optional. For those users you prefer to take entries the way they always have, press the key once more to bypass the Trainer field, and continue taking the entry by Horse name as usual.
To take entries by Trainer, enter the trainer name and select the trainer from scanner.
With the cursor now resting in the Horse field, press the key to view a list of all horses for the trainer selected above. The scanner will default to all horses with 'Foal Certs on file'. If you do not find the horse you are searching for you can expand your search to either "On Site" or "Started / Worked" in the last year.
Select the horse for the entry, and then continue on through the Entry screen as normal.

Enhancements have been made to the Horse and Horsemen Maintenance scanners which will allow for easier retrieval of horses and horsemen. Features include searching for horses by trainer, as well as Horses with Foal Certs on File, Horses on-site, or horses that have Started or Worked at your track during the last year.
Horse Maintenance Scanner
When searching for horses with the All Horses option selected, the scanner will function as it does presently. Here are details on the new enhancements when searching for horses:
o Foal Cert on file displays horses that are marked as having Foal Certificates on file at this track.
o On site displays horses that have been shipped in.
o Started/Worked Any Horses that have Started or Worked at this track within the last 365 days.
o Trainer If a trainer is selected from the scanner, the system will display all horses he is listed as training with Foal Certificates on file.
On site will display horses that this trainer has shipped in.
Started/Worked will display horses this trainer has either started or worked within the last 365 days.
Horsemen Maintenance Scanner (by Trainers)
When searching for a trainer, the scanner will continue to work as before when the Search All selection is checked. New functionality has been added as follows:
o On Site (for trainers) will display only trainers who have been assigned to stalls.

Horsemen Maintenance Scanner (by Jockey)
When searching for a jockey, the scanner will continue to work as before when the Search All selection is checked. New functionality has been added as follows:
o On Site (for jockeys) only jockeys that have been designated as part of the track's Jockey Colony will be displayed. (see Jockey Colony details below).
o Started at track this option will display only jockeys who have started a horse at this track (or associated tracks) in the last year.
o Alphabetical links This feature will allow you to go directly to jockey names beginning with the letter selected.
Jockey Colony Maintenance
A new Jockey Colony screen has been added to the RTO Horsemen Maintenance Menu. This screen will be used to maintain a jockey colony consisting of all jockeys that have raced at this track or association (ie; AQU, BEL, SAR).
A grid will list all Jockey's currently assigned to the colony. To add a new jockey, search for the jockey and select the name from the scanner.
Add Jockey press the Add Jockey button to add this jockey to the colony.
Save Jockey press the Save Jockey button to save the current list of jockey's.
Clear The clear button will clear any text entered in the Jockey text box.
Delete Jockey To delete any Jockey from the list, select the jockey in the Colony list and double click the name to populate the Jockey text box. The Delete Jockey button will become active at that point. If you wish to remove the jockey from the colony, press the Delete Jockey button.

A new Trainer Intoday sheet has been developed which displays trainers alphabetically with each of their horses listed underneath the trainer's name along with the Race number and post position number.
This new version can replace your current Intoday sheet which prints out after the Overnight is generated, or it can be included as an additional page to your existing Intoday report. As most tracks have a custom Overnight report, a one hour charge would be required for implementation. The Ship In/Out menu has been enhanced to display the horse information as entered in Horse Maintenance. The Pedigree, Coggins Date and Foal Certificate information will now display on the horse screen. InCompass can configure your system so the information on the horse screen can be edited and will update Horse Maintenance. If you do not choose to update Horse Maintenance from this screen, the horse information will be read-only and the Update Horse button will be disabled. Please contact us if you would like the Update Horse button enabled.
The horse records screen where you add the ship transaction has also been enhanced to display the Pedigree information.
The Shipped Transaction Listing Report has been enhanced to display the breed type of the horse.

Maintenance Enhancement |

The Schedule menu
has been re-designed
and now is easier
for you to edit your
daily race schedule.
This menu should be
used for any minor,
last minute changes
to your schedule.
For major changes to
your racing
schedule, please
continue to report
these to Equibase
Company at (800)
333-2211.
To
Edit your schedule,
go to
the monthly
calendar, and click
on the race date to
be modified.
This screen now
displays the Entry
and Scratch Dates,
along with post
times for each race
for an entire day.
Data in any of these
fields can be
edited, as well as
adding or removing
races for the day.
To
change
the post time of a
race, edit the hour,
minutes, AM or PM.
To
delete
a race, place a
check mark in the
checkbox proceeding
race number.
Next press the
'Delete Race'
button. The
system will ask you
to confirm the
deletion of that
race.
To
add
additional races to
the day, press the
'Add Race' button
and enter the new
race number and post
time.
Press
'Save all changes'
to update the data
and exit the screen.
The
'Cancel all changes'
button will exit the
screen without
saving any changes.
Note: A 'Post Time
Validation' message will
be displayed if the time
between races is outside
a range of 20 to 35
minutes. Press 'No' to
return to the Post Time
screen so you can make
adjustments to the post
times. Press 'Yes'
to override the
validation and leave the
post times as entered.

A
new program entitled
'Renum Draw' has
been added to the
Entries line on the
RTO menu. The Renum
Draw screen will
allow you to
Renumber the order
of your drawn races.
For
instance, you could
reverse the order of
the first two races
in the program.
Using the screenshot
below as our
example, here's the
steps you would
take:

Move race 2 to a
new race
position, (race
14).
-
Move race one to
the open
position of race
2.
-
Move race 14
back to the
position of race
one.
To use the new
program, enter the
date of the race,
and verify the Race
Card. In the
Race# field, enter
the number of the
race you want to
move. In the
New Race# field,
enter the number of
the new race
position.
Press the 'Change
Number' button to
complete the move.
Note: you
cannot overwrite an
existing race.
The system will only
allow you to move a
race to an open race
position.

A change to the Program
Printing screen has been
implemented which will
reduce the amount of
system resources
required to generate
program pages, we've
modified the program
printing screen with an
option that will omit
the calculation of
statistics for the
'Draft' version only.
There is a new
checkbox located
next to the 'Final
and Draft' radio
buttons, entitled
'Show Stats. The
Show Stats checkbox
will by default be
unchecked when
generating Draft
programs. As the
majority of the time
when generating
proof copies, the
main focus is to
proof horses and
horsemen, the meet
and combo stats will
be blank. If
you want to review
the stats on your
proof copy, simply
add a check in the
Show Stats checkbox,
and the program will
generate and display
all the statistics.
As always, whenever
you choose to print
a 'Final' program,
the system will
include all
statistics.

Message Center will
allow us to expediently

Message Center displayed
at the top of the
screen. We will use the
Message Notification
System to send messages
to individual users, or
broadcast system wide
messages to all RTO
users.
If a message is marked

Message Center when you

Implementation of new Meet
Startup Process |

In the past, each time a
new meet would begin, a phone
call was placed to InCompass
giving us details of certain
data specific to your track that
needed to be cleared, or set to
a pre-determined value. An
example would be to clear all
foal papers on file, and set all
preference dates to zero. This
was a manual process that
required unique coding by our
programmers. We now have the
capability to create a specific
'Meet Startup Process' for each
track, which can be activated by
you, instead of scheduling the
job with us.
As each track contacts
us regarding their preparations
for their upcoming meet, instead
of manually performing your
requests, we are creating a
process specifically for your
track. The new Meet Startup
Process will be added to the
Racing Secretaries menu, so you
can schedule this process to run
automatically.

Micochip Enhancement |

Several states are
starting to explore the use of
Microchip technology to track
and assist in the identification
of horses. With this additional
information available to Racing
Secretaries, Horse ID personnel,
and Veterinarians, they now have
a way to enter microchip numbers
on horses in the RTO Racing
System.
The Ship In/Out process
has been enhanced to store
microchip data on each horse.
Once the microchip number has
been added to the horse, users
will be able to reference the
horse via the microchip number.
Without knowing the horses'
name, you can enter the
microchip number and retrieve
the horses' information as well
as utilization within the Ship
In/Out module in the RTO system.

InCompass Adds "Formerly Raced
As ..." |

An enhancement has been
added to the InCompass RTO
System pertaining to horses that
have raced under a different
name, and are now entering to
run under a new name. When a
horse with racing history has
been issued a new name by The
Jockey Club Registry, it is
typical practice for the
previous name of the horse be
published in the program for the
horse's next three starts. This
is known as 'Formerly Raced As'.
As a service to you,
the RTO System will
automatically add the notice in
the program comment section that
prints at the bottom of your
program. If additional program
comments have already been added
for that day, the 'Formerly
Raced As' information will
append to the end of the
existing comments. The data will
appear as: 'New Horse Name'
formerly raced as 'Old Horse
Name'

designation in live program |

InCompass has added a
feature to the RTO System which
will allow a track to designate
simulcast races in their Live
program. When drawing races into
your live program card, you can
now assign a simulcast race as
part of your public offering.
The simulcast race will be

Sheet and the Program pages.
This new functionality will
allow your race card to be
offered on Simo-Central with the
simulcast races included with
your live races.

implemented an enhancement to
the Condition Book Index screen,

Medication Report |

renamed to the In Today Report.
The In Today Report still has
